Who will own my data once I submit it?
University of Liverpool Management School (ULMS) is part of the University of Liverpool (UoL) and the UoL is the Data Controller. Full details of the UoL’s data protection policies are available here.
Why do you need my information?
ULMS engages with a wide range of individuals inside and outside the University. We store personal data to:
- Record details of engagements or interactions with external contacts for strategic planning, statutory reporting and accreditation / ranking purposes
- Share details of events (occasionally with event partner organisations), opportunities or newsletters
- Record personal data pertaining to student activity with organisations outside the UoL, for example, placement / internship supervisors, work shadowing providers, guest speakers, funding bodies for Executive Education programmes etc
- Record personal data pertaining to research and knowledge exchange activities with organisations outside the UoL
The type of personal data we may hold includes your name, job title, company name, company address, email address, telephone number, social media details, images.
What allows you to use my information?
For business contacts ULMS relies on B2B marketing regulations to store personal data and issue communications.
For individual subscribers ULMS relies on individual consent to store personal data and issue communications.
Who will my information be shared with?
- Statutory reporting bodies, e.g. HESA, Government departments, accreditation bodies, rankings bodies
- ULMS staff responsible for managing student programmes and projects with third parties and/or research/knowledge exchange projects with third parties
- Third-party data processors to support activities described in this Privacy Notice.
Do I have to provide this information and what will happen if I don’t?
Individual subscribers do not need to provide personal information and can opt out at any time by emailing busdev@liverpool.ac.uk or ulmsents@liverpool.ac.uk.
How long will you keep this data for and why?
We are required to report on our activities over short-, medium-, and long-term timescales so will keep your details indefinitely but individual subscribers can withdraw consent at any time. When we’re notified you would like to withdraw consent we will delete the majority of the personal data we hold about you but may maintain the bare minimum personal data to ensure we don’t inadvertently create a new record in the future.
How will my information be stored?
Your data will be stored on a GDPR-compliant platform, Salesforce, on a spreadsheet/database and/or on the UoL’s email accounts and servers.
Will this information be used to take automated decisions about me?
No, the information will not be used to take automated decisions.
Will my data be transferred abroad and why?
From time to time ULMS may share some data with international organisations for accreditation, ranking, statutory reporting purposes, overseas student projects (e.g. international study/placements), overseas research / knowledge exchange /executive education projects
What rights do I have when it comes to my data?
Under the UK General Data Protection Regulation, you may have the following rights with regards to your personal data:
- The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for.
- The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you.
- The Right to erasure (right to be forgotten) you have the right to ask the University to remove data that we hold about you.
- The Right to restriction – you have the right to ask for your information to be restricted (locked down) on University systems.
- The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request.
- The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information, or complain about how your data is used.
- The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).
