What type of personal data do we collect?
We collect your name, photo, home or parental address, correspondence address, email address and telephone numbers, date of birth, gender, family status, nationality, educational details (including the name of your school/college and previous school(s)/college(s), any qualifications attained, predicted grades, and any free school meal/discretionary payments data, details relating to any work experience you may have had, personal interests and academic/career aspirations.
We also collect Special Category Data (as defined by the GDPR) from you. This includes information about your ethnic origin and any disabilities or medical conditions you may have.
Other information that we hold may be obtained from your referee(s), who are asked to comment on your eligibility for the outreach programme for which you have applied.
What we use your information for
The WPO Team collects and uses Personal Information for reasons related to meeting the aims of the Widening Participation and Outreach Department.
To process your application for a place on our outreach programmes, to run the programmes, track your involvement and offer you opportunities. We also input your data in to the Higher Education Access Tracker (HEAT) for monitoring, research and evaluation purposes. The HEAT system enables us to track the future education and employment outcomes of students who participate in our programmes, so that we can evaluate the effectiveness of these programmes.
We will also use the data you have provided to let you know about other services provided by the University, which may be of interest to you, such as letting you know about subject specific activities or Open Days.
We may also use the data you provide to determine your eligibility for certain scholarships or bursaries, where we can determine whether you meet the criteria on the basis of the information you have provided on your application form.
We have a duty in the substantial public interest to monitor and report on student’s ethnic background to the Office for Students, and to undertake research to ensure that there is equality of opportunity to participate in in our activities. To enable us to do this we use data about your Ethnicity.
If you have declared a Disability, will use this information to let you know of the support that we may be able to offer and any reasonable adjustments that may be made for you to allow you to fully participate in our activities.
If you disclose other sensitive information, such as having been in local authority care or being a young adult carer, we may share this information with specialist colleagues within the University whose role is to offer advice and support. There is a dedicated member of staff in the Widening Participation Team who manages the Disrupted Education Programme, whereby you can access a range of personal and finance guidance for your application to the University of Liverpool. There is also a dedicated contact within the University’s Student Welfare Advice and Guidance Team who we can introduce you to prior to your studies with us, and as part of your induction, once you enter the University.
Do we share data with anyone?
We share your data for specific reasons only, mainly related to delivering and carrying out research into the outreach programmes we deliver. We do not share or trade your information without your consent except as described below.
We may share your Personal Information with your teachers, your parents and colleagues within the University such as admissions staff or academic tutors.
If required by law we will disclose your Personal Information if required by law or if we, as an organisation, reasonably believe that disclosure is necessary to protect our organisation’s rights and/or to comply with a judicial proceeding, court order or legal process. However, we will do what we can to ensure that your privacy rights continue to be protected.
