Prospective students privacy statement

This Privacy Notice sets out how we use your personal data and your rights regarding that information. The Notice outlines what this means in practice and explains how the University of Liverpool (the University) collects, stores, manages and protects your data.

Why do you need my information?

As a prospective student, the University will communicate with you in order to provide important messages relating to your enquiry to the University. The data provided may influence our segmentation to ensure the correct messaging through the correct channel occurs.

Unless you have requested otherwise, the information you provide is used by the University to communicate with you for its recruitment purposes.

These may include:

  • Providing you with the services and information you asked for
  • The promotion of University of Liverpool events including those hosted online
  • Distribution of University mailings (e.g. enquirer newsletters)
  • Inviting you to give feedback on events and services to help us improve what we offer
  • Analysis to help us better understand the needs of our applicants and students.

What allows you to use my information?

The processing of your data is necessary for the purposes of the legitimate interests of the University.

When providing information, you will be asked if you consent to receive any further communication from the University thought relevant to you. You have the right to withdraw consent at any time.

How have we obtained your data?

As a prospective student we will have obtained the data we hold on you via:

1. Directly from you

and/or

2. Via third party

If you provide your email address by using subscription facilities or sending feedback, enquiries or requests by email, the personal information you provide (including your email address) will be used only to respond to your message or deliver the requested service.

On occasion you may be asked to provide some limited personal information (such as name, postal address, email address and mobile phone number), when requesting publications, information or services via the University site or at an event through completion of a form.

When providing this information, you may also be asked whether you wish to receive any further communication from the University of Liverpool thought relevant to you.

Your data is passed to the University of Liverpool from organisations including, but not limited to, BMI, Cappex, SI UK, Edukas, British Side, Graduate Prospects, The Financial Times, Unibuddy, The Economist, Grade Up, FPP Edu Media, The Times Higher Education, UK University Search, Inova Education, Across the Pond, UCAS, Net Natives, Hotcourses Group, Ivent, Studies Planet, IEC Abroad, ISAS, Text Inc., BusinessBecause, Shiksha, QS, GMASS (Graduate Management Admissions Search Service), British Council, IDP, PRONABEC, BEO, Carrefour Université, Find a University, British International School of Cairo, Premier meetings, The National School and College Leaver Show IWIS, Univer, Global Study UK, Go to College Fairs, Intake Education, theRightU, ISC Education, Keystone Education Group, FindAPhD, The Ambassador Platform, CIALFO, Unifrog, meet the Russell Group and Study, Go Abroad and International Education Fairs Turkey.

The data we hold will reflect what you have provided to the third party and agreed to share as part of your agreement with that third party.

The University will promptly contact you to confirm your contact preferences.

Who will my information be shared with?

Your information will be shared with our University partners including Superlink (the parent company of University of Liverpool China Office which manages the University’s agent network and some social media channels in China), if you have consented to having this information shared.

Do I have to provide this information and what will happen if I don’t?  

If the data is not provided the University cannot target you with the services and/or communications you have requested. You can withdraw consent at any time.

How long will you keep this data for and why?

Any personal information you provide will be held in accordance with the provisions of the Data Protection Act 1998 and UK General Data Protection Regulation (UK GDPR).

The University normally considers its relationship with prospective students to continue until the student’s year of entry passes. This means that we will maintain a prospective student record until such time. If you have indicated an interest in global opportunities offered by the University on your form, we will retain your information for a further two years after your year of entry passes. When this time is reached the University will delete the majority of your personal data it holds within its Customer Relationship Management systems (CRM), but will maintain basic personal data to ensure we do not inadvertently create a new record in the future.

How will my information be stored?

The information you provide will be stored on our Connect, Gecko and Salesforce CRM systems.

Will this information be used to take automated decisions about me?

No

Will my data be transferred abroad and why?

Data in Gecko is stored within the EU in Dublin, Ireland.

Data in Salesforce and Connect is stored in London, UK.

What rights do I have when it comes to my data?

Under the UK General Data Protection Regulation, you may have the following rights with regards to your personal data:

  • The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for
  • The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you
  • The Right to erasure (right to be forgotten) you have the right to ask the University to remove data that we hold about you
  • The Right to restriction – you have the right to ask for your information to be restricted (locked down) on University systems
  • The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request
  • The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information, or complain about how your data is used
  • The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).

Who can I complain to if I am unhappy about how my data is used?

You can make a complaint directly to the Data Protection Team by writing to the University Data Protection Officer.
