- Who will own my data once I submit it?

- Why do you need my information?
To provide a service or information which has been requested of us. This could include small and medium sized (SME) business support; consultancy, access to our facilities and equipment, Knowledge Transfer Partnerships, connecting prospective employers with our Careers and Employability Team, our research commercialisation or another partnership related to research or professional services work.
To update you on relevant University of Liverpool funding opportunities and events. This could relate to a specific project or funding call or could be more general in nature.
To help improve our communications with individuals and to keep in contact with individuals
To improve the quality and relevance of our events and conferences.
- What allows you to use my information?
We will only use your information with your permission, which you can give using the consent form provided.
We may use personal data if it is considered to be of legitimate interest, and if the privacy interests of the people we collect data about (data subjects) do not override this interest. Normally, to establish the legal basis for data collection, an assessment has been made during which a mutual interest between the University and the individual person has been identified. We will always inform individuals about their privacy rights and the purpose for collecting personal data.
You have the right to withdraw this consent at any time and stop receiving further communications by emailing us at collaborate@liverpool.ac.uk.
- Who will my information be shared with?
The University may use third-party data processors to support activities described in this Privacy Notice. Where this is the case, the third party will always be contractually bound to the University and required to hold personal information confidentially and securely and not to use it in any other way than as instructed by the University. Personal information will only be kept by the third party for as long as it is required to fulfil its obligation to the University, and will then be destroyed.
- Do I have to provide this information and what will happen if I don’t?
You are in control of your data and have the right to opt-out of all or specific communication types at any point. However, if you do not provide the necessary information required for us to deal with your information or service request then we will not be able to contact you to provide the necessary support and further information.
- How long will you keep this data for and why?
We keep personal data for as long as there is a need to keep it in connection with the purposes for which it was collected. We may keep your personal data after a particular matter or exchange has concluded but purely for record keeping purposes and to be able to respond to queries. In some cases, we are also obliged to retain your personal data to comply with legal or statutory obligations (for example, to keep records of contractual or financial matters). While the specific time periods vary depending on the circumstances, in general we will not keep records that include personal data for more than 10 years after a particular matter or exchange has concluded. In the event that you ask us to stop sending you marketing communications, we will retain certain details, such as your name and email address, but only to ensure that you are not contacted again.
- How will my information be stored?
We are committed to ensuring that there are appropriate technical controls in place to protect your personal data including protection from misuse and unauthorised access. For example, our network is protected and routinely tested by our colleagues in the University of Liverpool’s Computing Services team.
Your information is only accessible by University of Liverpool staff who are bound by appropriate policies and procedures to protect your information. We will ensure that any third parties we use for processing your personal information do the same.

What rights do I have when it comes to my data?
Under the General Data Protection Regulation, you may have the following rights with regards to your personal data:
- The Right to subject access – you have the right to see a copy of the personal data that the University holds about you and find out what it is used for.
- The Right to rectification – you have the right to ask the University to correct or remove any inaccurate data that we hold about you.
- The Right to erasure (right to be forgotten) you have the right to ask the University to remove data that we hold about you.
- The Right to restriction – you have the right to ask for your information to be restricted (locked down) on University systems.
- The Right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request.
- The Right to object – you have the right to ask the University to stop using your personal data or to stop sending you marketing information, or complain about how your data is used.
- The Right to prevent automated decision making – you have the right to ask the University to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).
